AISG Privacy Policy

AISG is committed to protecting the privacy of its members, their representatives and other contacts.

Scope

In accordance with EU General Data Protection Regulation (GDPR) this privacy policy provides information about the way in which describes how we obtain, use and store the personal data of the representatives of our members. This privacy policy applies to all personal data processed by directors, contractors and others acting on behalf of AISG, whether the personal data relates to EU citizens or others.

What information do we collect?

AISG collects the following personal data in line with the use purposes explained in a subsequent section. If you don't log in, we log the following information (keeping it for 14 days):

  • The IP address you use
  • Information about the device(s) you use
  • Information about service usage

If you do create an account and log in, we also collect:

  • Your name (optionally)
  • Your title (optionally)
  • Your email address
  • Your mailing list subscriptions
  • Your employer (the member company)
  • Contact information for the person(s) in your company responsible for payment of invoices
  • Authentication data
  • Other information you upload or provide to us

Use of your personal information

AISG uses your personal information to send you notices and other information or requests relating to our meetings and standards, and to contact you regarding technical and other matters relating to the work of AISG and to your company's membership thereof. In the event that you cease to be your company's representative to AISG, we will request contact information of your successor and will immediately confirm with your successor that such contact information is correct and may be retained by AISG.

Some AISG services available on the internet may permit you to participate in interactive discussions, post comments or other content to a bulletin board or document repository, or to participate in other collaborative activities. Some of these services are moderated; all may be accessed for technical reasons (for example, for comments). AISG does not control the content that users post to these forums. You should carefully consider whether you wish to submit personal information to these forums and you must avoid providing personal information relating to any third party. If you add or edit material in the document repository your name and the date of your activity are recorded for document management purposes and will be visible to other members.

AISG does not share your personal information with advertisers.

We may send you communications to you about a meeting, conference, or event hosted or co-sponsored by AISG. These may include information about content, event logistics, payment, updates and additional information related to the event. Information you provide when registering for or participating in a conference managed or co-sponsored by parties, other than or in addition to AISG, for example the member company hosting a meeting, may be shared with those parties, and the treatment of such information is further subject to the privacy policies of those parties.

AISG standards development participation is documented through various methods, e.g. rosters, submission documents, email reflectors, records of meeting attendance, meeting minutes, responses to ballot, publicly available participation lists, and declarations of affiliations.

AISG will communicate with you, if you are participating in certain AISG activities such as AISG conferences, authoring, reviewing or editing an AISG document. AISG may send you information such as emails and newsletters related to those activities. AISG may communicate with you regarding opportunities available to you through your company's membership of AISG. To engage with third parties. AISG may share your personal data with in third parties in connection with services performed by them for or with AISG. These third parties are restricted from using this data in any way other than to provide services for AISG or for the collaboration in which they and AISG are contractually engaged (for example, hosting an AISG database or engaging in data processing on AISG's behalf, or mailing you information that you requested). These third parties are obligated by AISG to keep your data secure in accordance with the requirements of the GDPR.

AISG protects the confidentiality, integrity, and availability of AISG information by following a risk management approach based on policies, standards and procedures to meet security objectives while supporting our operational goals.

You can control the information we have about you and how we use it in several ways

If you are a registered user, you can review, revise, and correct the personal data that you have provided to AISG via AISG Account/MyProfile or you can use the unsubscribe method provided in various communications.

Updates to this policy

AISG may update this Privacy Policy from time to time. If we make any material changes, we will notify you by email if you have an AISG account, and/or by means of a notice on this website, prior to the change becoming effective. We encourage you to periodically review this page for the latest information on our privacy practices.

Information Security

All sensitive data is encrypted on our computer system. Local backups are encrypted and a cloud backup is encrypted both in transmission and storage. Our backup service provider will comply with GDPR by 25 May 2018 in respect of information stored both within and outside the EU.

Logging

AISG automatically records the Internet Protocol (IP) addresses of visitors. Generally, when you connect from a corporate network, all users from that corporate network will share a limited set of static IP addresses, making it partly identifiable. When connecting via some other broadband connection, you should consider the IP address as identifiable.

We keep track of the pages visited in AISG's website, the amount of time spent on those pages and the types of pages searched on them. Your searches remain confidential. AISG uses this information only for statistical purposes to find out which pages users find most useful and to improve the website.

AISG captures and stores information that you transmit. This may include:

  • Browser
  • Operating system used
  • Media Access Control (MAC) address
  • Date and time of the server requested
  • Volume of data transferred

Cookies and web beacons

Cookies and web beacons are data placeholders that are placed on your device by websites to track your movements on that website over time. The AISG web site only uses session-based (which last only for the duration of the user's session) when you log in. The AISG web site does not use any persistent cookies (which remain on your device and provide information about the session you were in for the next time you use that site). These session cookies facilitate the logged in user's access to and use of our sites.

Tracking cookies, third-party cookies, and other technologies such as web beacons are not used by the AISG web site.

Do Not Track (DNT)

Our websites do not respond to DNT consumer browser settings.

Collaboration with authorities

AISG has appointed and mandated a privacy officer who represents the regulatory authorities inside AISG, and in return represents AISG to regulatory authorities.

The AISG privacy officer will ensure proper communication with the relevant regulatory authority for privacy. The privacy officer will lead investigative action, complaint handling and data breach notification. The privacy officer will also monitor regulatory changes and consult the regulatory authority where implementation of a regulatory or technological change leads to doubt.

Transfer of information to other countries

AISG is a global organisation and engages in a number of international activities. In connection with the management of those activities AISG may transfer information to or from other countries. By submitting your information in connection with your interactions with AISG online or offline, you consent to such transfers and to the processing of this information in other countries. (For example we may request an international meeting venue to confirm the list of AISG participants who have registered for accommodation.)

Your European Union privacy rights

Under the General Data Protection Regulation (Regulation EU 2016/679)(also known as GDPR), if you are an individual protected by the GDPR you may have certain rights as a data subject. To request information about or avail yourself of those rights, please send an email to with "GDPR Request" in the subject line. In the email please describe the specific GDPR right relating to your request. Additional information may be requested prior to initiation of a request, and that AISG reserves the right to change a fee with respect to certain requests. Upon completion of its review AISG will notify you whether your respect has been granted or denied, or if exemptions apply.
